Printing Cards Method 2

Introduction

Overview

The card printing function in SCOPE allows you to print SCOPECARDs for active beneficiaries. You can print WFPWorld Food Programme smart cards or WFPWorld Food Programme barcode-ID cards, depending on the token type you selected when setting up the delivery mechanism for the intervention. Currently, the methods for printing WFPWorld Food Programme smart cards and WFPWorld Food Programme barcode-ID cards are different. Eventually, there will be a single method for printing both types of cards in SCOPE.

You can manage WFPWorld Food Programme smart card printing by performing the following actions:

  • View summary

    View a summary of the status of SCOPECARDs on the system.

  • View all SCOPECARDs

    View the detailed status of all SCOPECARDs on the system.

  • View all PINs

    Download the PIN (personal identification number) for any SCOPECARD as a CSV file.

  • View printing jobs

    View a list of all SCOPECARD printing jobs.

  • Print cards

    Select the SCOPECARDs you want to print and send them to the printing station. You must confirm and activate printed SCOPECARDs to use them as an enrolment token.

  • Activate cards

    Activate printed SCOPECARDs so they can be actively used in a distribution cycle. If SCOPECARDs are not activated, they cannot be used as an enrolment token.

  • Reprint cards

    Reprint any cards that you want to replace before they have been activated, for example, cards with a bad print quality. Reprinting a card will not generate a new card number, however, the card serial number will be different.

    To replace a card that has been activated, for example, if it is lost or stolen, you must re-issue the card.

  • Re-issue

    Select SCOPECARDs to cancel and re-issue, for example, if they have been lost or stolen. Re-issuing creates a new SCOPECARD with a new number and cancels the current SCOPECARD for a beneficiary. If a card is cancelled while it is being actively used in a distribution cycle, any vouchers assigned to it will remain assigned. Vouchers will be assigned to the newly issued SCOPECARD beginning with the next distribution cycle.

You can manage WFPWorld Food Programme barcode-ID card printing by performing the following actions:

  • Print cards

    Select the SCOPECARDs you want to print and generate a JSON file to send to the printing station. You must confirm and activate printed SCOPECARDs to use them as an enrolment token.

  • Re-issue

    Select SCOPECARDs to cancel and re-issue. Re-issuing creates a new SCOPECARD with a new number and cancels the current SCOPECARD for a beneficiary. If a card is cancelled while it is being actively used in a distribution cycle, any vouchers assigned to it will remain assigned. Vouchers will be assigned to the newly issued SCOPECARD beginning with the next distribution cycle.

  • Confirm and activate

    Confirm and activate printed SCOPECARDs so they can be actively used in a distribution cycle. If SCOPECARDs are not confirmed and activated, they cannot be used as an enrolment token.

  • Confirm print failures

    Confirm any SCOPECARDs that failed to print after physically checking so that you can re-print them.

Who is responsible for printing cards?

IT is responsible for printing cards. Check with your Country Office to confirm who in IT is responsible in your country.

Why is printing cards important?

Beneficiaries need SCOPECARDs to receive entitlements during a distribution cycle.

What do I need to do before printing cards?

Ensure that beneficiaries have been registered in SCOPE and the delivery mechanism has been set up before printing SCOPECARDs.

Instructions for managing WFP smart cards

Viewing the summary

To view the summary, log in to SCOPE and perform the following steps:

  1. In the Country Office page, click WFPWorld Food Programme CARDS > SCOPE CARD > Summary in the menu.

  2. The summary is displayed in the Cards Summary page. Enter search terms into the Search bar and press Enter on your keyboard to search for specific activities.

Viewing all SCOPE cards

To view the details of all SCOPECARDs, log in to SCOPE and perform the following steps:

  1. In the Country Office page, click WFPWorld Food Programme CARDS > SCOPE CARD > All SCOPE Cards in the menu.

  2. A list of all SCOPECARDs is displayed in the All SCOPE Cards page.

    You can download the list as a CSV file. To download the CSV file, use one of the following methods:

    • To download specific enrolments, click the checkboxes for the enrolments you want to download, then click the Download CSV drop-down menu and select Download selection as CSV.
    • To download the entire list, click the Download CSV drop-down menu and select Download all as CSV.

    You will automatically receive an email containing a link to the CSV file.

  3. To view the details of a specific SCOPECARD, click the Card no.

  4. The card details are displayed in the Card details page.

Viewing all PINs

To view and download the PIN for a SCOPECARD, log in to SCOPE and perform the following steps:

  1. In the Country Office page, click WFPWorld Food Programme CARDS > SCOPE CARD > All PINs in the menu.

  2. A list of all SCOPECARDs (except barcode-ID cards) is displayed in the All PINs page.

    You can download the list of SCOPECARDs with PINs as a CSV file. To download the CSV file, use one of the following methods:

    • To download specific enrolments, click the checkboxes for the enrolments you want to download, then click the Download PINs drop-down menu and select Download selection PINs.
    • To download the entire list, click the Download PINs drop-down menu and select Download all PINs.

    You will automatically receive an email containing a link to the CSV file.

  3. To view the details of a specific SCOPECARD, click the Card no.

  4. The card details are displayed in the Card details page.

Viewing printing jobs

To view the list of printing jobs, log in to SCOPE and perform the following steps:

  1. In the Country Office page, click WFPWorld Food Programme CARDS > SCOPE CARD > Printing Jobs in the menu.

  2. A list of all SCOPECARD printing jobs is displayed in the Printing jobs page.

Printing cards

To print SCOPECARDs, log in to SCOPE and perform the following steps:

  1. In the Country Office page, click WFPWorld Food Programme CARDS > SCOPE CARD > Print SCOPECARDs in the menu.

    Note: You can only print WFPWorld Food Programme smart cards if you have selected them as the token type for a delivery mechanism and the SCOPE user interface will change to reflect this.

  2. A list of all active enrolments that do not yet have a SCOPECARD printed for them is displayed in the Print SCOPECARDs page.

    You can download the list as a CSV file. To download the CSV file, use one of the following methods:

    • To download specific enrolments, click the checkboxes for the enrolments you want to download, then click the Download CSV drop-down menu and select Download selection as CSV.
    • To download the entire list, click the Download CSV drop-down menu and select Download all as CSV.

    You will automatically receive an email containing a link to the CSV file.

  3. Select the SCOPECARDs you want to print with one of the following methods:

    • To print specific SCOPECARDs, click the checkboxes for the cards you want to print, then click the Action drop-down menu and select Request print selected cards.
    • To print SCOPECARDs for the entire list, click the Action drop-down menu and select Request print all X cards.

  4. The selected SCOPECARDs generate a printing job. The printing station receives available printing jobs when it is connected to SCOPE and prints the SCOPECARDs in the printing job. After printing the SCOPECARDs, the printing station sends a report to SCOPE and updates the list of printing jobs.

Activating cards

To activate printed SCOPECARDs, log in to SCOPE and perform the following steps:

  1. In the Country Office page, click WFPWorld Food Programme CARDS > SCOPE CARD > Activate in the menu.

    Note: You can only activate printed WFPWorld Food Programme smart cards if you have selected them as the token type for a delivery mechanism and the SCOPE user interface will change to reflect this.

  2. A list of all printed SCOPECARDs that need to be activated is displayed in the Cards Activation page.

    You can download the list as a CSV file. To download the CSV file, use one of the following methods:

    • To download specific enrolments, click the checkboxes for the enrolments you want to download, then click the Download CSV drop-down menu and select Download selection as CSV.
    • To download the entire list, click the Download CSV drop-down menu and select Download all as CSV.

    You will automatically receive an email containing a link to the CSV file.

  3. Select the SCOPECARDs you want to activate with one of the following methods:

    • To activate specific SCOPECARDs, click the checkboxes for the cards you want to confirm and activate, then click the Action drop-down menu and select Activate selected cards.
    • To activate SCOPECARDs for the entire list, click the Action drop-down menu and select Activate all X cards.

    Note: If you do not activate printed SCOPECARDs, the enrolments will not appear in the distribution list.

Reprinting cards

To reprint SCOPECARDs, log in to SCOPE and perform the following steps:

  1. In the Country Office page, click WFPWorld Food Programme CARDS > SCOPE CARD > Reprint in the menu.

    Note: You can only reprint WFPWorld Food Programme smart cards if you have selected them as the token type for a delivery mechanism and the SCOPE user interface will change to reflect this.

  2. A list of all SCOPECARDs that can be reprinted is displayed in the Reprint cards page.

    Note: You can only reprint SCOPECARDs that have not been activated yet. If a SCOPECARD has been activated and needs to be replaced, re-issue the card.

    You can download the list as a CSV file. To download the CSV file, use one of the following methods:

    • To download specific enrolments, click the checkboxes for the enrolments you want to download, then click the Download CSV drop-down menu and select Download selection as CSV.
    • To download the entire list, click the Download CSV drop-down menu and select Download all as CSV.

    You will automatically receive an email containing a link to the CSV file.

  3. Select the SCOPECARDs you want to reprint with one of the following methods:

    • To reprint specific SCOPECARDs, click the checkboxes for the cards you want to reprint, then click the Action drop-down menu and select Reprint selected cards.
    • To reprint SCOPECARDs for the entire list, click the Action drop-down menu and select Reprint all X cards.

  4. The selected SCOPECARDs generate a printing job. The printing station receives available printing jobs when it is connected to SCOPE and prints the SCOPECARDs in the printing job. After reprinting the SCOPECARDs, the printing station sends a report to SCOPE and updates the list of printing jobs.

Re-issuing cards

To re-issue SCOPECARDs, log in to SCOPE and perform the following steps:

  1. In the Country Office page, click WFPWorld Food Programme CARDS > SCOPE CARD > Re-issue in the menu.

    Note: You can only re-issue WFPWorld Food Programme smart cards if you have selected them as the token type for a delivery mechanism and the SCOPE user interface will change to reflect this.

  2. A list of all SCOPECARDs that can be re-issued is displayed in the Re-issue cards page.

    You can download the list as a CSV file. To download the CSV file, use one of the following methods:

    • To download specific enrolments, click the checkboxes for the enrolments you want to download, then click the Download CSV drop-down menu and select Download selection as CSV.
    • To download the entire list, click the Download CSV drop-down menu and select Download all as CSV.

    You will automatically receive an email containing a link to the CSV file.

  3. Select the SCOPECARDs you want to re-issue with one of the following methods:

    • To re-issue specific SCOPECARDs, click the checkboxes for the cards you want to re-issue, then click the Action drop-down menu and select Re-issue selected cards.
    • To re-issue SCOPECARDs for the entire list, click the Action drop-down menu and select Re-issue all X cards.

  4. The selected cards are sent back to the list of active enrolments that do not have a SCOPECARD printed for them in the Print SCOPECARDs page. Repeat the Printing cards process to print re-issued SCOPECARDs.

Instructions for managing WFP barcode-ID cards

Printing cards

To print SCOPECARDs, log in to SCOPE and perform the following steps:

  1. In the Country Office page, click WFPWorld Food Programme CARDS > WFPWorld Food Programme Barcode-ID Card > Print Cards in the menu.

    Note: You can only print WFPWorld Food Programme barcode-ID cards if you have selected them as the token type for a delivery mechanism and the SCOPE user interface will change to reflect this.

  2. A list of all active enrolments that do not yet have a SCOPECARD printed for them is displayed in the Cards not yet printed page.

    You can download the list as a CSV file. To download the CSV file, use one of the following methods:

    • To download the entire list, click the Download CSV drop-down menu and select Download all as CSV.
    • To download specific enrolments, click the checkboxes for the enrolments you want to download, then click the Download CSV drop-down menu and select Download selection as CSV.

    You will automatically receive an email containing a link to the CSV file.

  3. Select the SCOPECARDs you want to print with one of the following methods:

    • To print SCOPECARDs for the entire list, click the Action drop-down menu and select Print all X cards.
    • To print specific SCOPECARDs, click the checkboxes for the cards you want to print, then click the Action drop-down menu and select Print selected cards.

  4. You will automatically receive an email containing a link to a JSON file for the selected SCOPECARDs. Download the JSON file and use it to print the selected SCOPECARDs with the SCOPE Batch Printing Tool.

Re-issuing cards

To re-issue SCOPECARDs, log in to SCOPE and perform the following steps:

  1. In the Country Office page, click WFPWorld Food Programme CARDS > WFPWorld Food Programme Barcode-ID Card > Re-issue in the menu.

    Note: You can only re-issue WFPWorld Food Programme barcode-ID cards if you have selected them as the token type for a delivery mechanism and the SCOPE user interface will change to reflect this.

  2. A list of all enrolments with printed and activated SCOPECARDs is displayed in the Re-issue page.

    You can download the list as a CSV file. To download the CSV file, use one of the following methods:

    • To download the entire list, click the Download CSV drop-down menu and select Download all as CSV.
    • To download specific enrolments, click the checkboxes for the enrolments you want to download, then click the Download CSV drop-down menu and select Download selection as CSV.

    You will automatically receive an email containing a link to the CSV file.

  3. Select the SCOPECARDs you want to re-issue with one of the following methods:

    • To re-issue SCOPECARDs for the entire list, click the Action drop-down menu and select Re-issue all X cards.
    • To re-issue specific SCOPECARDs, click the checkboxes for the cards you want to re-issue, then click the Action drop-down menu and select Re-issue selected cards.

  4. You will automatically receive an email containing a link to a JSON file for the selected SCOPECARDs. Download the JSON file and use it to print the selected SCOPECARDs with the SCOPE Batch Printing Tool.

Confirming and activating cards

To confirm and activate printed SCOPECARDs, log in to SCOPE and perform the following steps:

  1. In the Country Office page, click WFPWorld Food Programme CARDS > WFPWorld Food Programme Barcode-ID Card > Confirm and Activate in the menu.

    Note: You can only confirm and activate WFPWorld Food Programme barcode-ID cards if you have selected them as the token type for a delivery mechanism and the SCOPE user interface will change to reflect this.

  2. A list of all printed SCOPECARDs that need to be confirmed and activated is displayed in the Confirm and Activate page.

    You can download the list as a CSV file. To download the CSV file, use one of the following methods:

    • To download the entire list, click the Download CSV drop-down menu and select Download all as CSV.
    • To download specific enrolments, click the checkboxes for the enrolments you want to download, then click the Download CSV drop-down menu and select Download selection as CSV.

    You will automatically receive an email containing a link to the CSV file.

  3. Select the printed SCOPECARDs you want to confirm and activate with one of the following methods:

    • To confirm and activate SCOPECARDs for the entire list, click the Action drop-down menu and select Confirm all X cards.
    • To confirm and activate specific SCOPECARDs, click the checkboxes for the cards you want to confirm and activate, then click the Action drop-down menu and select Confirm selected cards.
    • To automatically confirm and activate printed SCOPECARDs with an Excel file from the SCOPE Batch Printing Tool, click Choose File and select a file from your computer, then click Upload file.

    Note: If you do not confirm and activate printed SCOPECARDs, the enrolments will not appear in the distribution list.

Confirming print failures

To confirm any print failures and re-print SCOPECARDs, log in to SCOPE and perform the following steps:

  1. In the Country Office page, click WFPWorld Food Programme CARDS > WFPWorld Food Programme Barcode-ID Card > Confirm Print Failures in the menu.

    Note: You can only confirm print failures for WFPWorld Food Programme barcode-ID cards if you have selected them as the token type for a delivery mechanism and the SCOPE user interface will change to reflect this.

  2. A list of all printed SCOPECARDs that need to be confirmed is displayed in the Confirm card printing failures page.

    You can download the list as a CSV file. To download the CSV file, use one of the following methods:

    • To download the entire list, click the Download CSV drop-down menu and select Download all as CSV.
    • To download specific enrolments, click the checkboxes for the enrolments you want to download, then click the Download CSV drop-down menu and select Download selection as CSV.

    You will automatically receive an email containing a link to the CSV file.

  3. Select the SCOPECARDs you want to confirm as print failures with one of the following methods:

    • To confirm SCOPECARDs for the entire list, click the Action drop-down menu and select Confirm all X cards.
    • To confirm specific SCOPECARDs, click the checkboxes for the cards you want to confirm, then click the Action drop-down menu and select Confirm selected cards.
    • To automatically confirm SCOPECARDs as print failures with an Excel file from the SCOPE Batch Printing Tool, click Choose File and select a file from your computer, then click Upload file.

  4. Confirmed card printing failures are sent back to the list of active enrolments that do not have a SCOPECARD printed for them in the Cards not yet printed page. Repeat the Printing cards process to re-print SCOPECARDs.
